Know where every tool is and who has it
Gearbin is a tool inventory for tradespeople. Give every tool its own card, scan a barcode or QR label to open it, lend tools with a due date and keep warranties and service dates in one place. Everything stays on your device, with no account and no cloud.
What it does
One card per tool
Photo, brand and model, serial number, purchase date and price, supplier, invoice photo, warranty end date, condition, location and full history. Search by name, brand, model, serial number or barcode.
Scan and find
Scan the barcode on the box or a Gearbin QR label and the tool card opens. A barcode that is already registered opens the existing card instead of creating a duplicate. You can also type the code.
QR labels
Create a permanent QR label for each tool and print sheets of 12, 24 or 48 labels on A4 paper. The iPhone camera can open the right tool from a label too.
Loans and due dates
Lend a tool with a name, an optional phone number and a due date, and record its condition when it leaves and when it comes back. Overdue loans show up on the home screen. Add a signature and a handover photo when you want proof.
Locations
Warehouse, van, workshop, job site or home: build a tree like Van > Drawer 2. Every move is written to the tool's history.
Maintenance
Log service, repairs, calibration, blade and oil changes with cost and provider. Gearbin suggests the next date from your interval, or by running hours for compressors and generators.
Stock count and reports
Pick a location, scan what you see and get a list of what is missing, misplaced or out on loan. Create an inventory list, a value report and a loan history as PDF.
Reminders and widgets
Optional reminders for return days, overdue loans, ending warranties, maintenance and monthly counts, all off until you turn them on. Home Screen and Lock Screen widgets show tools on loan, overdue loans and ending warranties.
Backup and export
Back up to a file with or without photos, restore it on a new iPhone, and import or export CSV for spreadsheets.
